Skybookings lets you connect your own Zoom account and use it to host online events on the platform. Once connected, Skybookings handles meeting creation automatically when you publish an event. Every paying patron receives their own unique join link — no shared URLs, no manual setup. This guide covers everything you need to get started: connecting your Zoom account, creating an online event, managing your event after it goes live, and what your patrons will experience.
Before You Start
Make sure you have the following before connecting Zoom to Skybookings:
- A Zoom account (free or paid) with permission to create meetings
- An active Skybookings curator account
- Integration settings access on your Skybookings account
Note: Your Zoom account is connected at the account level on Skybookings. Any eligible online event you publish will use this connection.
Part 1: Connecting Your Zoom Account
Step-by-Step
- Log in to your Skybookings account.
- Go to Settings and open the Integrations section.
- Find the Zoom integration and select Connect Zoom.
- Skybookings will redirect you to Zoom. Log in to Zoom if prompted and click Allow to grant access.
- You will be returned to Skybookings automatically. Your Zoom connection will show as Connected.
Tip: You only need to connect Zoom once. All online events on your account will use the same connection.
Checking Your Connection Status
To confirm Zoom is connected at any time:
- Go to Settings and open Integrations.
- The Zoom section will show either Connected or Disconnected.
Note: If the status shows Disconnected, you will need to reconnect before publishing online events. Follow the steps above to reconnect.
Disconnecting Zoom
If you need to disconnect your Zoom account:
- Go to Settings and open Integrations.
- Select Disconnect next to the Zoom integration.
Important: Disconnecting Zoom will prevent new online events from being published until you reconnect. Existing published events will not be affected immediately, but new patron registrations may fail until the connection is restored.
Part 2: Creating an Online Event
Setting Up Your Event
- From your Skybookings dashboard, select Create Event.
- Fill in your event details: name, date, time, and timezone.
- Under Event Type, select Online.
- Complete any remaining details such as ticket types and pricing.
- When you are ready, select Publish Event.
When you publish, Skybookings automatically creates a Zoom meeting on your connected account. You do not need to create the meeting in Zoom separately.
Tip: Make sure your event has a confirmed date, time, and timezone before publishing. These are required to create the Zoom meeting correctly.
After Publishing
Once your event is published, you will see the following on your event detail page:
- Zoom status confirming that the meeting has been created
- A Host Start Link that only you can see, which you will use to open and host your session on event day
Important: Never share your Host Start Link with patrons or anyone else. This link gives full host control of the meeting. Your patrons receive separate, individual join links.
Updating Your Event After Publishing
If you change supported details on your event after publishing — such as the date, time, or timezone — Skybookings will update the Zoom meeting to match. You do not need to make changes directly in Zoom.
Note: Not all event edits will trigger a Zoom update. Changes to the event name, description, or ticket types will not affect the Zoom meeting.
Part 3: Hosting Your Event
Starting Your Zoom Session
- On event day, go to your event detail page in Skybookings.
- Select the Host Start link. This will open Zoom and start your session as the host.
- Your session is live. Patrons who join using their individual links will appear in the meeting.
Tip: Open your Zoom session a few minutes before your event start time to check audio, video, and screen sharing before patrons join.
Zoom Controls Available During Your Session
Once you are in the Zoom meeting, you have full host control including:
- Muting and unmuting participants
- Enabling or disabling participant video
- Using the chat
- Removing participants if needed
Note: Advanced Zoom features such as recordings, polls, and breakout rooms are not part of the current Skybookings integration and may be added in a future release.
Part 4: What Your Patrons Experience
After Buying a Ticket
Here is what happens on the patron side from the moment they purchase:
- The patron completes their ticket purchase on Skybookings.
- Skybookings automatically registers them for the Zoom meeting.
- The patron receives a unique join link in their booking confirmation.
- On event day, the patron uses their link to join the Zoom session.
Note: Each patron receives their own individual join link. This link is specific to their booking and cannot be shared to gain entry for another person.
Where Patrons Find Their Join Link
Patrons can access their join link in the following places:
- Their booking confirmation after purchase
- Their ticket or booking details page when logged in to Skybookings
Patron Attendance Tracking
When a patron joins the Zoom session using their link, Skybookings automatically marks them as attended. You do not need to track this manually.
Note: Attendance is only tracked for patrons who join using their own link. If a patron joins Zoom in a different way, their attendance may not be recorded.
Part 5: Refunds and Cancellations
If a patron receives a refund or their booking is cancelled, Skybookings automatically removes their Zoom access. Their join link will no longer work after the cancellation is processed.
You do not need to manage this manually in Zoom.
Part 6: Troubleshooting
A patron paid but has not received a Zoom link
In most cases this is temporary. Zoom registration is processed automatically after payment, but occasional delays can happen due to a Zoom service issue or a brief connection problem.
What to do:
- Confirm the patron’s payment shows as successful in Skybookings.
- Ask the patron to check their booking confirmation page — the link may already be there.
- If the link is still missing after a short wait, contact Skybookings support with the patron’s booking reference.
Important: Do not tell the patron their ticket is missing or unpaid if their payment was successful. The Zoom link delay is a separate process from payment.
I cannot publish my event as a Zoom-backed event
This is usually caused by one of the following:
- Zoom is not connected — go to Settings > Integrations and check your connection status.
- Your Zoom connection has expired — disconnect and reconnect your Zoom account.
- Your event is missing required fields — confirm the event has a date, time, and timezone set.
A patron joined the Zoom session but is not showing as attended
Check the following:
- The patron should have joined using their own individual link, not a link shared by someone else.
- Their ticket may need checkpoint settings configured for attendance to be recorded. Contact Skybookings support if this is unclear.
My Zoom account shows as disconnected unexpectedly
Zoom connections can occasionally expire or be revoked. To restore the connection:
- Go to Settings > Integrations.
- Select Connect Zoom and complete the authorisation again.
Tip: If you disconnect Zoom from inside your Zoom account settings (rather than from Skybookings), you will need to reconnect from Skybookings to restore the integration.
